Position/Title:

CLIENT SERVICES MANAGER

Employment Description:

A growing tax and advisory firm serving business owners and high-net-worth clients in Middle TN and beyond is looking to add to their team. This role is both strategic and tactical: you’ll oversee client intake, scheduling, communication, and workflow while also directly managing daily operations. This position will require you to alongside and supervise a small team (Client Services Specialist + Part time Receptionist), ensuring smooth coordination between clients and our tax team. Prior experience in a client services role (law office, accounting firm, or another professional environment) strongly preferred.

Job Responsibilities:

Client Services & Communication
●Serve as the primary point of contact for clients throughout the engagement cycle.
●Manage client intake, including engagement letters, tax forms, and required documentation.
●Schedule client meetings and internal prep/review appointments.
●Ensure consistent, timely, and professional communication with clients.

Workflow, Capacity Planning & Project Management
●Create and manage projects in Practice CS; assign staff, set due dates, and track milestones.
●Coordinate capacity planning in collaboration with tax team by monitoring preparer/reviewer availability and balancing workloads.
●Track work-in-progress (WIP), identify bottlenecks, and escalate issues as needed.
●Serve as liaison between clients and tax preparers to ensure accurate and timely delivery.
●Maintain clear status reporting and provide weekly updates to the Managing Partner.

Document & Billing Management
●Oversee secure document management using Onvio (scanning, uploading, e-signatures, and storage).
●Ensure tax documents are organized, complete, and accessible for preparers.
●Support client billing and accounts receivable follow-up.

Team Leadership
●Supervise the Client Services Specialist and Part Time Receptionist.
●Provide training, assign daily tasks, and ensure high-quality output.
●Coordinate with remote staff to maintain process consistency and accountability.

Qualifications
●5+ years of experience in professional services.
●Proven experience in managing a small team.
●Strong organizational and project management skills.
●Excellent communication skills with a client-first mindset.
●Proficiency with Practice CS (or similar) and Onvio (or similar), preferred.
●Experience managing or coordinating remote staff is a plus.

Base Schedule:

M-F 8a-5p, with some overtime during peak seasons

Compensation:

$55,000-$60,000 annual salary
